Baffle filters, condenser coils, and the intervals nobody actually gives you
Ask how often to clean a hood filter or a condenser coil and Ohio's food code mostly answers "as often as necessary". That is not evasion — it is the code handing you the schedule and the burden of defending it. Here is who really sets each interval.

Ask how often a hood baffle filter needs washing, or a condenser coil needs brushing, and you will get a confident answer from whoever is selling the service and nothing at all from the code.
That is not an oversight. Ohio’s food code is deliberately non-prescriptive about maintenance, and understanding why changes how you run the kitchen.
What the food code actually says
Almost all of it reads like this:
- Physical facilities are to be maintained in good repair, and cleaned “as often as necessary to keep them clean.”2
- Nonfood-contact surfaces are to be cleaned “at a frequency necessary to preclude accumulation of soil residues.”1
- Intake and exhaust air ducts are to be cleaned and filters changed so they are not a source of contamination by dust, dirt and other materials.2
No numbers. And that is the point: the code sets the outcome and hands you the schedule. Which means the schedule is yours to set, and yours to defend.
The practical consequence is the one people miss. Having no written schedule does not lower the standard — it just means you argue about it standing in your kitchen with an inspector, rather than deciding it in advance on paper.
The interval Ohio does specify — every four hours
Here is the number the code is unambiguous about, and it is stricter than most kitchens assume.
Equipment food-contact surfaces and utensils used with time/temperature controlled for safety food are to be cleaned throughout the day at least every four hours.1
That is the baseline. Everything below is relief from it.
The cold-room relief, and what it actually covers
Those surfaces may be cleaned less frequently than every four hours in several listed situations. The one people half-remember is this: where utensils and equipment are used to prepare food in a refrigerated room or area held at one of these temperatures, and they are cleaned at the matching frequency:1

Two conditions attach, and both are easy to miss:
It is about preparing, not storing. The relief covers utensils and equipment used to prepare food in the refrigerated room — a cold prep area, a room where someone is actually working. Parking a slicer in the walk-in overnight is not what this paragraph is about.
The frequency has to be documented in the operation.1 Undocumented, you are relying on an exemption you cannot evidence, which in practice means you are back on the four-hour clock.
Why the condenser coil is a compliance item, not just a maintenance one
A refrigeration condenser sheds heat. Coat it in dust and grease and it sheds less, so the compressor runs longer, the room runs warmer, and the unit dies younger.
Everyone knows that as an energy and equipment argument. The part that is not obvious: a warmer room shrinks the relief. A cold prep room drifting from 40°F to 46°F takes you from a 24-hour interval to 16. Let it pass 55°F and the relief runs out entirely — the chart stops, and you are back to cleaning every four hours.
So the coil nobody brushes quietly rewrites the labor schedule of the people working in that room. One neglected coil, two problems, and they are recorded in different places.
Ohio’s food code sets no interval for condenser cleaning. This one belongs to your equipment manufacturer, and quarterly is a common specification. Check the manual for the units you actually own rather than adopting a rule of thumb — condenser location, filter type and how greasy the air is all move it.
Baffle filters are two different jobs
People conflate these, and they are on different schedules set by different authorities.
Washing the baffle filters is your staff, on your schedule — nightly in a high-volume kitchen with fryers and a grill, weekly in a low-volume one. This is the food code’s “as often as necessary” territory, and the honest test is whether grease is running back down the hood or dripping onto the line. If it is, your interval is already wrong.
Cleaning the hood, duct and rooftop fan is a fire-code job on a fire-code schedule. Ohio requires commercial cooking fire-extinguishing systems to be inspected and maintained in accordance with NFPA 96,3 and that standard scales the interval to how much and what you cook — solid fuel and high-volume frying on the shortest cycles, low-volume operations on the longest. Your hood cleaning contractor should tell you which band you are in and why; ask them to.
Do not let the contract lull you. A quarterly hood cleaning does not cover the filters between visits, and filters are what stops grease reaching the duct in the first place.
The dish machine failure nobody schedules for
Deliming is the job everyone knows about, and water hardness drives it.
It is not what actually takes the machine down. The peristaltic pump tubing that doses detergent, rinse aid and sanitizer is a consumable. It goes stiff and brittle on a timetable of its own, and when it fails the machine keeps running, keeps sounding normal, and stops delivering chemical. Nothing about your water changes that, and nothing about it announces itself — the rack comes out wet and warm and wrong.
That is the argument for a monthly preventive visit rather than an annual one. Deliming can follow your water; the tubing follows the calendar. A machine that has not had its dosing checked in a year has probably been somewhere on a slow slide toward not sanitizing, and the only way you find out is by testing — which is why the sanitizer test strip at the dish station is not a formality.
Ask your chemical supplier or service company two things: how often they replace dosing tubing as a matter of course, and what they check on a monthly visit that they do not check on a delime. If the answers are the same, you are buying one service and calling it two.
The chemicals themselves have their own rule
Everything above is about when you clean. There is a separate rule about what you are allowed to have in the building to clean with, and it is stricter than most kitchens realize.
Only what the operation needs may be on the premises. Other than packaged products held for retail sale, the only poisonous or toxic materials allowed in a food operation are those necessary for its operation and maintenance — cleaning and sanitizing equipment and utensils, licensed pest control application, or an incidental-use pesticide.6
Read that as a possession test, because that is how it works. A half-used container somebody brought from home, a hardware-store product bought for a job last spring, a spare tin of something in the back of the chemical shelf — none of those is necessary for the operation, and each is a finding on its own without anyone having used it.
The aerosol can under the bar. This is the one worth reading twice.
A general use pesticide, other than for incidental use, or a restricted use pesticide, may be applied only by a commercial applicator licensed under ORC 921.06 — or by a trained service person under that applicator’s direct supervision.6
And the rule defines what it will accept as incidental: the application of a general use pesticide on an occasional, isolated, site-specific basis in order to avoid immediate personal harm. It expressly says incidental use does not mean regular, routine, or maintenance application.6
So a can kept behind the bar and used on sight of an insect is not incidental use — it is routine application by an unlicensed person. A wasp coming at someone is the case the exception was written for. Ongoing pest control is a licensed pest control operator, and it is not optional.
Where chemicals are stored. Poisonous or toxic materials are to be stored so they cannot contaminate food, equipment, utensils, linens, or single-service articles, by separating them by spacing or partitioning, and by locating them somewhere that is not above any of those things.6
One express relief, and it is the practical one: warewashing chemicals may be kept in the warewashing area for availability and convenience, provided they are stored so as to prevent contamination.6 The detergent by the dish machine is fine. The same bottle on a shelf above a prep table is not.
If you also sell chemicals — a store, a market, a hardware aisle in a gas station — the display rule is the same shape: separated by spacing or partitioning, and not above food, equipment, utensils, linens or single-service articles.7
And the container rule that has no exceptions. A container previously used to store poisonous or toxic materials cannot be used to store, transport or dispense food, equipment, utensils, linens, or single-service or single-use articles.6 Not rinsed, not relabeled, not “it was only sanitizer”. Once it held a chemical, it is not going back.
When chemicals are applied, the rule requires that contamination from drip, drain, fog, splash or spray be prevented — by removing items, covering them with impermeable covers, or other appropriate action — and that equipment and utensils be cleaned and sanitized after the application.6 That last clause is the step most often skipped after a pest treatment or a deep clean.

Four different authorities, and only two of them will ever appear at your health inspection.
Build the schedule
Rather than leave you with a principle, there is a tool: build a cleaning schedule — tick the tasks your kitchen actually has, set an interval for each, and print it for the wall.
Legal intervals and suggested ones are drawn differently, and if you set a legal one longer than the rule allows it says so, on screen and on the printout. It prints with a date and initials column, because a schedule nobody signs is a poster.
Get your schedule approved
This is the most useful thing on this page and it costs nothing.
The code allows a cleaning schedule approved by the licensor, based on the characteristics of the equipment and its use, the type of food involved, and the amount of food residue accumulation.1
So: write the schedule, take it to your health district, and ask them to approve it. You convert “as often as necessary” — a standard you can always be argued out of — into a document with their name on it. Very few operators do this, and the ones who do stop having the conversation entirely.
The short version
- The food code sets outcomes, not intervals, for almost everything. The schedule is yours to write and yours to defend.
- The one hard number is four hours for food-contact surfaces used with TCS food. The cold-room chart is relief from it, available only when you are preparing in that room and documenting the frequency.
- A dirty condenser coil erodes that relief — and above 55°F it disappears, putting you back on four hours.
- Filters and hood cleaning are different jobs on different schedules, set by different authorities. A hood contract does not cover your filters.
- Get your cleaning schedule approved by your licensor and stop arguing about it.
Intervals from manufacturers vary by model and by how hard your kitchen works. Confirm anything you are about to build a schedule on against your own equipment manuals and your licensor.5
Common questions
How often does Ohio require me to clean hood baffle filters?
The food code does not name an interval. It requires that intake and exhaust air ducts be cleaned and filters changed so they are not a source of contamination by dust, dirt and other materials, and that nonfood-contact surfaces be cleaned at a frequency necessary to preclude accumulation of soil residues. The prescriptive schedule for the hood system itself comes from the fire code and NFPA 96, and it varies with how much you cook.
How often should refrigeration condenser coils be cleaned?
Ohio's food code sets no interval — this one is the manufacturer's spec, and quarterly is a common one. It matters more than it sounds: a fouled condenser makes the room run warmer, and a warmer room shrinks the relief the code gives you from cleaning food-contact surfaces every four hours. Above 55°F that relief disappears entirely.
Is there any interval Ohio actually specifies?
Yes, and it is stricter than most kitchens realize. Equipment food-contact surfaces and utensils used with time/temperature controlled for safety food must be cleaned throughout the day at least every four hours. Working in a refrigerated room is one of the conditions that lets you clean less often than that — every 24 hours at 41°F or below, sliding to every 10 hours above 50 to 55°F — but only if you are preparing food in that room and you document the frequency you are using.
Can my health district approve my own cleaning schedule?
Yes. The code allows a cleaning schedule approved by the licensor, based on the characteristics of the equipment and its use, the type of food involved, and the amount of food residue accumulation. Getting your schedule approved converts an argument at inspection into a document.
Who sets the hood cleaning interval?
The fire code, through NFPA 96, and it scales with cooking volume rather than with the calendar. Solid fuel and high-volume operations are on the shortest cycles. That is a different question from washing your baffle filters, which is a nightly or weekly job for your own staff.
What happens if I have no written schedule at all?
You are still obliged to meet "as often as necessary" — you have simply chosen to argue about it afterwards rather than decide it in advance. A written schedule, ideally approved by your licensor, is the difference between showing an inspector a plan and explaining a judgment call.
